Development of Key Allocation Ratios Spreadsheet ( $149.00 ) ($99) This spreadsheet is a template that shows how to quickly develop 3 key ratios that you can use to allocate almost all indirect expenses between multiple indirect pools and any intermediate pools such as Occupancy and Support Services.  These Key 3 ratios are Labor Dollar, Labor Hour, and Square Footage ratios.  As an added bonus, I show one way of using the same information to develop and apply a Fringe Benefits rate.  The information that you would have to input is shown in "Blue".  All other calculations, rates, and numbers are automatically developed.  You can add additional lines for more staff.  Just be sure to check that the formulas include any additional lines you may add for staff.  I recommend you do not add at the last staff name, but just before the last one.  This way the formula will generally include all additional lines.  This is a time saver and an excellent source document in support of the development and allocation of indirect costs

Do you need them? Should they be documented? How do you start developing them? How detailed should they be? 

Yes you do and Yes you should move toward documentation!  Everyone has them.  That’s right, I said everyone has them.  You see, your policies and procedures are simply the methods you use day by day within your business to meet goals and objectives and to comply with guidelines and requirements as applicable.  

Everyone has policies and procedures in some form or another.  They may or may not be very good policies or procedures and they may or may not be documented, but they do exist. 

Unfortunately, most small businesses do not have policies documented, or documented adequately, nor do they know where or how to start! Policies and procedures are a roadmap of what you do and how you do it in your company.  They will help others in your firm and those looking in your firm to understand how you operate.  They will help your firm to be consistent in it’s’ operations and provide confidence to auditors, bankers, contracting officers, prime contractors, and customers in general.

Why do I continue to express passionate interest about the right training to the small, 8(a), SDB, WOB, SVOB, VOB, HubZone, and similar firms doing business with government at all levels?  Because my experience and results has proven that the right training, by the right trainers, does improve the chance of success!   Paul Sr.

What will make one small contractor/subcontractor stand out from others?  What will increase a firms chance of survival and success through various cycles of economic changes?  What will separate the corporate winners from the losers over the next 5 to 10 years?   

Three Key Factors: #1-Training; #2-Training; and #3-Training.  You would think that all organizations and managers recognize the importance of training.  But, they don't.  Why?  Managers and organizations fall prey to the five management myths of training. 

THE FIVE MYTHS:

  1. "Our people are experienced. They don't need to be trained."

  2. "We tried it and it didn't work."

  3. "Our organization (or department, or division) is too small."

  4. "We can't afford it."

  5. "We don't have time."

Let's take a look at each of these myths, starting with the organization or manager who says, "Our people don't need to be trained. They are all old ‘pros' who have years of experience."

Think about it. Imagine a professional football coach saying, "Our people are all experienced, so we're going to skip training camp this year. We don't need it." How do you think that team would stand up against the competition? How long do you think the coach would keep his job?

Ask yourself this question. Do you think that business is the same today as it was 20 years ago?  Of course not.  Business is changing.  Management is changing.  Successful organizations don't do business the same today as they did five years ago, or 10 years ago, let alone 20 years ago.
